Terms & Conditions for Hourly Rentals
@ the Enlightened Soul Center & Shop

These Terms and Conditions are in effect starting January 1, 2020, midnight.
 
By submitting the application to rent the space at Enlightened Soul Center & Shop (ESC) located at 2711 Carpenter Road, Ann Arbor, MI 48108, you agree to the following terms and conditions:
A. Reserving the room
  1. Inquiry form must be submitted on the ESC website or through the link to the form (could also be found on ESC website or emailed by request) in order to rent space at ESC. Consult ESC calendar to see space availability. Reservations requests cannot be made by text or Facebook Messenger.
  2. If the rental date requested is less than 48 hours, the inquiry form still must be submitted for tracking purposes, and the ESC Rental Manager should be contacted as soon as possible via email and/or text.
  3. No additional inquiry form is needed in the following cases:
    (a) The same room and time slot will be used on several dates for repeated events (provide additional dates on the inquiry form or email your request)
    (b) There are several time slots requested for the same room and date (provide additional time slots on the inquiry form or through email)
    (c) More time needs to be added or time needs to be changed on a previously submitted inquiry (email preferred; text or call for same-day adjustments only)
  4. After submitting the inquiry form, an automatic email will be sent by “Google Forms” to the email address the renter indicated in the form, confirming the successful submission of the form.
  5. Within 24 hours (allow more time during weekends and holidays), a Rental Confirmation email message from rentals@enlightenedsoulcenter.com will be sent to the email address provided on the inquiry form.
  6. The event will be added to the ESC calendar with the note “tentative” after the rental confirmation is sent.
  7. A 50% non-refundable deposit is required for public events (any room) or private events (in the Event Room and Class Room only) to confirm the reservation. A deposit is not required to see private clients in Room 6. After the deposit is paid, the note “tentative” is removed from the calendar.
 
B. Payment
  1. Rental payments can be made with cash or check (payable to Enlightened Soul Center) by prior arrangement with the ESC Rental Manager or through PayPal (preferred) to intuitivesinteractive@hotmail.com .
  2. A PayPal invoice will be emailed to the renter from rentals@enlightenedsoulcenter.com after the Rental Confirmation email is sent for reservations requiring a 50% non-refundable deposit. It can be paid with a Paypal account or  “Pay with debit or credit card” option could be selected at the bottom of the Paypal window.
  3. 50% deposit should be paid within three days of receiving the invoice, in order to secure your reservation and have “tentative” removed from the calendar.
  4. Payments made by cash or check can be made only by a previous agreement with the ESC Rental Manager. If approved, cash or check can be left in the wooden payment box on the table in the Event Room with a note stating the event, your name, date, amount and other details of what the payment is for.
  5. Any rental reservation is expected to be paid in full by the day of the event. The Paypal invoice for the remaining rental balance is emailed a week before the event day to allow extra time for the balance to be paid on time.
  6. Late fee/grace period: 10% or 3$ late fee (whatever is greater) will be added to rental balances not paid in full 48 hours or more after the date of the event, or the date of the final PayPal invoice was sent, whichever occurs last (for Paypal option only).
  7. No new room reservations will be made for accounts with an unpaid balance of 30$ or more until the balance is paid in full.
  8. Unpaid balances are invoiced through Paypal only after reaching the amount of 15$ or 30 days after the event occurrence, whatever comes first. No late fee is charged until 48 hours after the account is invoiced.
  9. Payments for Room 3 usage could be paid through the renter’s PayPal account directly to the ESC PayPal account without receiving an invoice from ESC on the day the room was used by sending the payment to intuitivesinteractive@hotmail.com. A description of what the payment is for should be included with each payment in the “note” section in the PayPal window. Payments can also be made in person (cash or check) using the white Rental Form behind the front counter and placing the payment and Rental Form in an envelope before sliding it into the grey metal payment box.
 
C. Calculating rental time
  1. At least 15 minutes set-up and 15 minutes clean-up time must be added in the inquiry form for all public events. This ensures that multiple events booked on the same day will not overlap with each other.
  2. The mandatory 15 minutes set-up and clean-up time for Event Room, Class Room, and weekend Room 3 rentals of 2 hours or more will be at no extra charge. Any additional set-up and clean-up time requested will be calculated according to the applicable rental rates. Room 3 rentals during weekdays, or less than 2 hours on weekends, will be charged the regular room rate for set-up and clean-up.
  3. For private events, the entire time requested (including set-up/clean-up) will be marked on the calendar. For public events, time on the calendar represents the beginning and the end of the event for the public, without showing set-up and clean-up time.
 
D. Cancellation Policy
  1. Rentals of the Event Room, Class Room, or Entire Center, must be canceled by email (no text or Facebook message cancellations are accepted) no later than 2 weeks before the weekday event or 1 month before the weekend events (Friday night–Sunday night). Failure to submit a cancellation request by the specified deadline will oblige the renter to pay the remaining 50% of the rental balance.
  2. Public events in Room 3 require cancellation notice at least 1 week before the event, to abstain from owing the remaining 50% of the rental fee.
  3. Private rentals in Room 3 are not subject to cancellation fees if the Rental Manager was informed about the cancellation before the scheduled time of the rental. Cancellation notifications sent post-factum will oblige the renter to pay the rent in full.
  4. NEW as of December 2023: If a renter is hosting a public event, they must wait a minimum of 15 minutes past the start time to ensure that no one is arriving late, before considering the event a no-show and leaving the premises.
